Office & Website Administrator

The Personalized Medicine Coalition (PMC) seeks an Office & Website Administrator for this fast-growing, educational and advocacy membership-based organization. The Office & Website Administrator is responsible for ensuring the smooth daily operation of the office and providing high quality and timely support to the organization. The Office & Website Administrator is a member of the administrative team and reports to the Director of Operations. In this position, you will have the opportunity to support the culture of the organization and assume a collaborative role immediately, including engagement with cross-functional teams (Membership, Public Affairs, and Policy). Ideal candidates are career-oriented, autonomously driven, and comfortable working as part of a team. 


Organizational Support         

  • Provide support for Membership recruitment and retention: manage new member applications, member communications, and outreach.         
  • Provide support for Public Affairs: Serve as administrator of website, assist with all communication tools including creating and editing of electronic and physical documents.         
  • Provide meeting support: manage registration and member requests, help secure meeting space, manage A/V needs, arrange for food/supplies, and provide onsite set-up/take-down assistance.
  • Responsible for daily office functioning: field telephone calls, coordinate incoming and outgoing mail, process expense forms, manage supply inventory, track office calendar, and maintain general office tidiness.        


Qualifications and Experience    

  • Bachelors degree with 1-2 years administrative experience required  
  • Organized, able to work independently and interdependently, welcoming to the public  
  • Helpful, positive, and able to solve problems  
  • Quick study on new computer programs  
  • Flexibility to adjust to dynamic work environment  
  • Detail-oriented  
  • Good sense of humor  
  • Willingness to travel to occasional seminars, conferences and meetings  
  • Experience with non-profit organizational administrative systems preferred  
  • Demonstrated working experience in Adobe Creative Suite, HTML/Drupal or similar, Office Professional XP, Constant Contact, and Database Management Systems (iMIS, YourMembership, etc.)
